Apex Music Academy: from spreadsheets and WhatsApp to a platform
A music academy run on spreadsheets and WhatsApp, now on a platform for admin, teachers and families.
A business owned by the founder
Apex Music Academy is owned by HAXOR’s founder. We say it first because it changes how to read this case: there was no contract involved, but there is the most demanding operation we have, with real families, teachers and payments every week.
Attendance, payments and notices in different places
Attendance lived in one sheet, payments in another, and balances were worked out by hand. Families got notices in loose messages, and prospective students depended on someone remembering to reply.
Apex Hub
One platform, three views
Admin, teachers and families, each with what they need.
The money path
Balances, partial payments, bank reconciliation and daily cash close.
Teacher payroll
Calculated from the classes actually taught.
Leads into a record
People who fill in the website form land in a record with follow-up.
Listening to families
A periodic satisfaction survey tied to each student.
Money gets built with more rigor than everything else
An error on an attendance screen gets fixed; a duplicate charge to a family breaks trust. The money paths are designed, tested and reviewed with a different rigor from the rest of the system.
About the figures
We do not publish a client’s results without their consent and without a measurement we can stand behind. When they exist, they will appear here with their source.

We will find the areas of opportunity and propose better processes, automations or custom-built solutions.
